About eCT Contol

An eCT is an electronic Certificate of Title (CT) for a folio (title) of the Register of land (Register). It is a control mechanism to ensure the effective processing of electronic instruments. If there is an eCT, it indicates that no valid paper Certificate of Title (pCT) exists for that title.

Who has eCT Control?

The eCT Control is the entity that has control of the eCT for the folio, as shown on a Register Search Statement (title search).  These entities can include financial institutions (if there is a mortgage) or legal practitioners/ conveyancers (If they completed a conveyancing transaction and there is no mortgage.)

What is an eCT Control Report?

An eCT Control Report lists all the eCTs under the control of a specific entity.

The eCT Control Report provides an excel file which lists the Volume/Folio numbers inked to the VOTS customer code of applicable titles. It does not include registered proprietor names or other information.

The eCT Control Report provides crucial information for property transaction processes, audit purposes, and regulatory compliance.

Who can purchase an eCT Control Report?

Please note – this report is only available to entities authorised to manage and control an Electronic Certificate of Title (eCT) within the framework of the electronic lodgement network and registered with an Electronic Lodgement Network Operator (ELNO).

An eCT Control Report provides the responsible entity a complete list of all eCTs under their control and as such enables accurate auditing of their list.

Ordering an eCT Control Report

  1. Visit the LANDATA® website.
  2. Enter the VOTS Customer Code for the entity that you wish to obtain the report about.
  3. Confirm your eligibility to make the request.
  4. Make payment using the online portal.
  5. Wait for processing (up to three business days).

The eCT Control Report will be sent to the contact email address linked to the VOTS Customer Code for the entity that the eCT Control Report relates to. This information is received through ELNs. Therefore subscribers are encouraged to make sure that their contact email address is kept up-to-date in the ELNs they subscriber to.
